The challenge

Originally, we had only one colleague in our HR team working for all our recruitments for our head office and our factory. This colleague sometimes had to manage up to 30 open positions at the same time. While we thought we would gain in efficiency and cost, we realized that we could no longer carry out all these recruitments in parallel. We were unable to meet a reasonable deadline for finding the right candidate. Sometimes we would search for a candidate for four to five weeks, only to realise that it wasn't possible. So we would call on an external agency, but on a ‘one-off’ basis, which meant fairly high billing rates. We realized that we had lost everything: time, because we had delayed the launch with the external recruitment agency, but also money, because we were paying full price.

We therefore looked for a solution to:

  • re-build trust with all managers when it came to recruitment issues,
  • provide a more qualitative support to managers in integrating new employees,
  • also provide a support at strategic level: for example be able to evaluate and question our recruitment channels,
  • reduce the recruitment costs,
  • reduce the time to hire,
  • free time to enable our HR team to focus on other key HR projects.

The RPO Solution

Having worked with Profile Group in my previous experience, I knew that if I called them, we could work together to design the most appropriate solution for the situation we were facing. So we contacted the Profile Group team and we quickly decided to implement an RPO. I was already familiar with this solution and it quickly became the obvious choice.

The first step was to find recruiters within Profile Group who would fit in with our corporate culture. We started with one on-site and, very quickly, followed shortly with two extra recruiters. This solution is perfect because we can increase capacity when we have a lot of recruitment, but also reduce it when we have less. We are a company where recruitment volumes vary a lot, with hiring freezes followed by sudden peaks.

Being able to adjust the size of the team according to our needs was one of the advantages I see in our RPO with Profile Group.

The results

  • Freeing the HR department from operational workload

  • Having a more standardized and optimized approach to recruitment, particularly in terms of processes. We took the time to think about our recruitment channels and job offers.

  • The recruitment cost has been decreased so an RPO is in fact a neutral equation. Although recruitment is still billed internally, the cost is lower than what we were used to with one-off outsourced recruitment

  • We now have built a relationship of trust with all managers. Of course, it took a little time for everyone to get used to the Profile Group's new faces. But we were able to build a relationship of trust with all the hiring managers, who challenged us more and more, for example with VIE contracts. It was the first time we had done this and Profile Group's recruiters are not afraid to take on any new challenge.

  • I can honestly say that Profile Group recruiters are now part of our company!
