For our client located in Brussels and Amsterdam, leading provider in the integrations of voice and video platforms for critical environments (financial trading rooms, traffic, rail and river control, port surveillance, cities and public transport control), we are looking for a trilingual Management Assistant

Function

As a Management Assistant, you assist the CEO (Dutch-speaking) and the President (French-speaking), and your responsibilities are articulated around 3 main pillars:

Support to the General Management:

  • Daily management of the agenda of the General Management
  • Administrative management of confidential documents
  • Organisation of meetings for the Management Board
  • Organisation and reporting of meetings of the Management Board and the meetings of the board team
  • Organisation and preparation of the Trimestral Company Event
  • Reporting time recording statistics to the General Management
  • Organisation of the company's events (closing dinner, barbecue, Christmas cocktail, Family Day...)
  • Order management

Customer reports

  • Responsible for the reporting for major clients
  • Management of the CRM database

Support to the sales department:

  • Order and follow up of the administrative documents (NOSS, tax documents, bank documents...)
  • Management of the administrative part of the tender offer
  • Cards and box orders for the tender offers
  • Marketing material order
  • Participation in the events
  • Participation in the organisation
  • Support to the Key Account Managers in the organisation of events/meetings
  • Translations

Profile

As a Management Assistant, you have the following profile:
  • Bachelor as Executive Assistant
  • Between 2 and 6 years of experience in a similar function
  • Excellent command of the 3 languages (oral and written), and able to write minutes of meetings in English (vehicular language) + French and Dutch
  • Good knowledge of MS Office and advanced level in Excel
  • Accurate
  • Discreet
  • Communicative
